We’ve already talked about how to choose what kind of venue you want, but once you’ve made a shortlist, started to contact venues, and maybe even organised to go along for a visit, it’s time to work out which place is ‘The One’. Which is where this handy checklist of wedding venue questions comes in.

Any of you who have started the big venue search will know, that while you do have lots of time with the marketing person or venue coordinator while there, typically you walk away thinking of a gazillion questions that you should have asked.

Our advice is, when you going to view a venue, bring along a list of questions and jot down the answers as you go. That way a) you’ll have all the information you need and b) you’ll have consistent answers to compare between venue options. This will make sorting the pros and cons thing so much easier when trying to make your final decision.

To get you started we’ve compiled a general list of wedding venue questions that cover all the various aspects. There are two primary questions you need to find out before talking to any venue you’re interested in:

1. Does the venue have enough seated capacity to accommodate your guest list?
2. Is your date free?

Beyond those basic questions, there are a lot of big and small issues that need to be ironed out with your potential venue. This list is designed to give you a broad overview of the kinds of things you should ask in order to minimise any surprises later down the line. Some will apply to you, others may not, so you can simply skip over them when you’re chatting with the venue.

Remember, when visiting multiple venues, keep a note of the answers at each, for easy comparison later on.

First Things First

• Who will actually be there on the day? Is there an in-house wedding coordinator? If there is a coordinator, will they be there for the duration of the reception?
• Do you have a one wedding per day policy?
• Is the venue available for exclusive use?
• If so, is there a minimum number of guests that have to book accommodation for exclusivity?
• How flexible are your packages?
• Are there any changes planned to the building before the wedding (renovations, painting etc.)?

Ceremony

• Which rooms are licensed for ceremonies?
• Is the ceremony to take place in the same room as the reception?
• What is the changeover plan for converting from ceremony to reception?
• Is there any alternative (or outdoor) locations for non-legal ceremonies?
• Are we allowed to have confetti?

The Food and Wine

• Is a complimentary menu and wine tasting included? How many people can attend?
• How much wine/champagne/tea & coffee is included per person?
• Wine choices – what are the wine choices and what are the upgrade costs?
• Do you charge a corkage fee?
• Is the champagne toast complimentary?

• Can I move things around and decorate to suit my purposes, or do I have to leave everything as is?
• If you want to set up and decorate the venue the day before the wedding ask if you can gain access
• Can we hang things on the wall or from the ceilings?
• Do we need to bring in a contractor to hang decor or lights?

The Wedding Party

• Where does the band set up? Where is the dance floor/how big is it/does anything have to be moved to create the dance floor?
• Does the wedding venue already own a sound system with adequate speakers or will that need to be rented?
• Will the band be able to set up beforehand or does it have to be during changeover?
• Will the band have to go through the reception to set up or is there separate access?
• Do you have microphones in the venue for the speeches?
• Can I hook an iPod or laptop up to your sound system?
• Is there a late bar? How late will the bar be open?
• Is there a charge for a bar extension?
• What time do guests have to leave the venue?
• What is the capacity for evening/afters guests?

Accommodation

• Is the bridal suite included in the price? Are rooms provided for the parents?
• What accommodation does the venue offer, will there be discounted rates for guests at the wedding?
• Are there B&Bs and other hotels in the area for guests? Can you provide a list?
• Are there reliable taxi companies in the area?
• When is the check out time?
• Can we block book rooms for guests? If so, how long can they be held for?

Private Venues

• Can I have a marquee in the grounds? What capacity can be accommodated?
• Do you have a preferred marquee provider or can we organise our own choice?
• Are there any preferences for suppliers/is there an in-house caterer?
• Are kitchen facilities available for use?
• Do we need to supply a generator or bathroom facilities?

Facilities

• Can the bridal party get ready at the venue?
• Is the venue child friendly? What facilities are available for entertaining children?
• Is there a lift/facilities/access for the elderly and disabled?
• Is there enough parking for my guests and is it complimentary?
• Is there a heated outdoor space for smoking or where my guests can mingle?
• How many toilets are there?
• Is there somewhere secure to store wedding gifts?
• Does the venue have public liability insurance?

Financial

• Is there a payment schedule? What kind of deposits are required?
• What’s the cancellation policy? What costs are incurred if the numbers on the day differ to the final numbers?
• Are discounts/packages dependent on certain numbers of guests booking accommodation?
• Are there special reductions for off-peak (e.g. Mon – Thurs or Oct, Nov, Jan – March)?
• Is there a service fee included?
• Are there any additional fees or charges we need to be aware of?

One last nugget of advice: if you think a particular venue might be ‘The One’, follow up after the visit with an email confirming all their answers; some venues say yes to everything in the initial visit and are then less flexible in reality, so having everything you’ve discussed in writing will help things to run smoother down the line.

5 ways to limit stress planning a wedding. Planning a wedding will stress you out; between money, time, and general expectations, most engaged couples are ready to pull out their hair at one point or another. If you can break down where that stress is coming from, it will be easier to deal with. Here are the top five people who will stress you out, and how to handle them.

5. Wedding Vendors.

These people want to make money and will pressure you into getting the more expensive option. Have a budget and stick to it. If you’re tempted by what they offer that is more expensive, say firmly, “That’s not in my budget, I’ll have to go home and see if I can move some things around and get back to you.” At home, it will be easier to decide if that extra option is really necessary or just an expensive add-on.

4. Divorced and Bickering Friends/Family Members.

These people stress you out for two reasons. One, you’re wondering how they’ll behave at your wedding and two, you’re scared that’s going to be you in ten years with your sweetie. Sit down with them to say, “I’m so glad you’re coming to my wedding. I hope you can do me a big favour. You and ______ fight so much, and I really want the focus of our wedding to be love. Do you mind doing everything in your power to be civil just for that one day?”

Remember, if they do bicker at your wedding, you’ll probably be so caught up in everything else, you won’t even notice. Also, take the time now to make sure that won’t be you. Talk to your future spouse about pre-wedding counselling, something even the most loving and healthy couples say was a fabulous experience.

3. Well-meaning opinions of others.

Everyone will want to know the details of your wedding and everyone will have an opinion. Listen to what they have to say, but with a grain of salt. Repeat this mantra: they are not the ones getting married, we are. If you listened to what everyone thought, you would have a mishmash wedding that would not reflect who you are in the slightest. You’re not getting married to please them, after all.

2. Your Parents.

Parents stress us out for various reasons our entire lives, why would they stop now? Whether it’s complaining about the money you’re spending, wanting to have a hand in everything, making you feel like you’ll never live up to their ideals of what a wedding should be, or disapproving of your marriage totally, parents have that special knack to stress us out. Here are some strategies:

• Sit down with your parents early in the wedding planning process to find out if they want to give you money for your wedding and how much.
• Before you go any further, get them to agree on a set number of people they’ll be inviting.
• Talk to them generally about your initial ideas including when/where/style.
• Avoid this pitfall: Don’t promise your mother something if you haven’t talked to your fiance about it first.
• Don’t lose sight of your vision for your wedding – write it on a big sheet of paper taped next to the phone, if necessary.
• Try to let your parents feel involved by giving them tasks to help you with – including areas you’re willing to give up creative control, or tasks such as comparing prices, organising hotel discounts for guests etc.

1. Each Other.

It’s true, the number one person who will stress you out the most is the person you’re going to spend the rest of your life with. This is mostly because weddings are stressful, and they’re the person you’ll be around most. The most common complaints are “he’s not doing anything to help with the wedding” and “she never talks about anything other than the wedding.” Avoid this with some simple planning.

Sit down with a wedding planner and divide up the list of tasks into bride’s, groom’s, and together. Each of you will know that you have creative control over what’s on your list, and what you are responsible for. Post the list in prominent locations in your house(s) and agree to have check-in meetings once a month or so about where you are.

Don’t forget to budget! Since money is such an easy thing to fight about, make sure you sit down at the beginning of the process, agree on how much money you’re going to spend, and stick to it!

Sit down with a calendar. Figure out when you have time to schedule a couple of hours each week to deal with wedding stuff together.

Don’t worry, those of you who feel like a couple of hours each week is too much. A lot of it will be fun – checking out potential venues, eating cake at tastings, and practising dance moves.

Then, schedule a “no wedding” night. This is perhaps the most important thing to stop each other from stressing you out. One night a week, neither of you are allowed to mention the word wedding or anything wedding related. This can be a date night, or just a relaxing at home together night to remind you why you’re going through all this craziness in the first place!​​
